Where you can book an outdoor event at UBC
Review the Film & Events Location Library and select your event location(s). A site plan is required if you are placing anything in the event space. This should be submitted with the outdoor event application. Blank site plans will not be accepted. If you are unable to find the location in our library - state the location in the outdoor event application.
Event Permit Fees
Most UBC departmental and student club events are charged a nominal fee for an event permit. Third party events are charged based on the event type and impact to the UBC public realm.
Please submit your outdoor event application and the Film & Events Office will determine the costs associated with your event.
Third party event permit fees are based on the impact the event has on UBC Point Grey campus. These fees can range from $210 - $1400. Any event promoting a service/product will be charged a $1,749 event permit fee.
Vehicle access for setup/takedown
Vehicle access into the vehicle restricted area of campus (the public realm or pedestrian priority zone) is discouraged to maintain safety levels. However, access can be accommodated if needed for a fee.
If vehicle access is needed, identify the details of your access request in your application for the Film & Events Office to review. F&E will identify the best access route and will coordinate the bollard lowering for you. A fee will be charged directly to the event organizer for payment by Community Safety.
If the bollard is lowered for your access, the following conditions must be met:
The bollard must never be left unattended when down. UBC Community Safety or a volunteer can reinstate the collapsible bollard after the vehicle enters/exits the public realm. Bollards that require removal from UBC Municipal must work with UBC Community Safety and Film & Events Office to ensure UBC public realm is safe from vehicular attacks with the bollard removed.
Vehicles are not permitted to enter the public realm during class change (:50 - :00) or lunch (11:30 am – 1:00 pm). Early morning and late afternoons are preferred.
Vehicles cannot exceed 10km/hour and pedestrians/cyclists have right of way at all times.
Vehicle is not permitted to remain on site – unless it is part of the event activation. Vehicle must pay and park in a designated pay parking area
Event volunteers must walk the vehicle onto the location.
A contact person + phone number is required for overseeing bollard drop.
